What Data We Collect

Contact form submissions: We collect the name, company name, email address, telephone number, and enquiry details you provide when submitting an enquiry via our contact form.

Server logs: When you visit our website, our servers automatically record information including your IP address, browser type and version, pages visited, time and date of access, and referring website. This data is used for website security and performance analysis only.

Correspondence: If you contact us by email or telephone, we retain records of that communication for the purpose of managing your enquiry.

Why We Collect It

We collect and process your personal data for the following purposes: to respond to your enquiries and provide our commercial ship brokerage services; to perform obligations arising from contracts or proposed contracts; to comply with legal and regulatory obligations; and to improve the functionality and content of our website.

Enquiry and correspondence data is retained for a maximum of seven (7) years from the date of the last communication, in line with commercial record-keeping requirements under UK law.

Server log data is retained for a maximum of twelve (12) months.

If you request deletion of your data prior to the end of the standard retention period, we will comply unless we are required to retain it for legal or regulatory reasons.

Who We Share It With

We do not sell, rent, or trade your personal data to third parties for marketing purposes.

We may share your data with parties directly involved in a transaction you have instructed us to pursue — including counterparties, vessel owners, independent surveyors, legal advisers, P&I clubs, and flag state administrations — and only to the extent necessary to progress that transaction. We will always make you aware when we intend to share your data with a third party.

We may share data with our IT service providers and website hosting partners strictly for operational purposes under data processing agreements.

International Data Transfers

SBS Marine Solutions operates globally. In the course of brokering international vessel transactions, your data may be shared with or accessed by parties located in countries outside the UK and European Economic Area — for example, counterparties, yards, or legal advisers in China, the Middle East, or Southeast Asia.

Where such transfers occur, we apply appropriate safeguards including standard contractual clauses or ensure equivalent protections are in place. We will only transfer data where it is necessary for the transaction you have requested.

You have the following rights in relation to your personal data: the right to access a copy of the data we hold about you; the right to correct inaccurate or incomplete data; the right to request deletion of your data (subject to legal retention requirements); the right to restrict or object to processing; the right to data portability; and the right to withdraw consent where processing is based on consent.
